PSS Systems Provides Legal Hold and Retention Enforcement Automation Solutions for File Shares, Documentum, and other Data Sources
Policy Enforcement Services Module Closes Gaps and Reduces Risks
New York, NY — February 6, 2008 — PSS Systems, pioneer of the legal holds and retention management market, announced the release of its new Policy Enforcement Services module at LegalTech New York. The new module extends the Atlas legal holds and retention management suite by enabling legal and compliance staff to easily establish and enforce legal holds, discovery collections and retention schedules from their browser. The module extends the Atlas suite, which consists of Atlas LCC, the market leader in legal hold communications and collections, and Atlas ERM, the only enterprise system for managing retention policies and schedules across jurisdictions and disparate business units and systems. The Policy Enforcement Services module enables automated, seamless distribution of legal holds, collections and retention schedules to disparate repositories and data stores to enforce legal policies on widely distributed data.
Previously, companies had significant gaps between their legal policies and procedures and the enforcement of these policies on data residing in the many business systems across an enterprise; these gaps were filled with additional and expensive human and physical monitoring at best and went unfilled at worst, exposing companies to significant legal risk and cost. Unenforced retention schedules led to substantial build up of unneeded information which drastically increases future litigation costs; unenforced legal holds can lead to court sanctions and high damage awards. With Atlas Policy Enforcement Services, PSS Systems closes these gaps by connecting Atlas LCC and Atlas ERM directly to the systems with custody of data subject to legal holds and retention schedules and automation to ensure that information is properly governed.
Atlas is the only solution in the market that addresses both the business process workflow needs of the litigation department and retention compliance teams while also automating the enforcement of their policies on data distributed across the enterprise. Without leaving their desks, these legal and compliance staff can define, manage, enforce and monitor legal holds, discovery collections and retention schedules. Legal holds and collections can be quickly instituted from a lawyer-friendly browser interface, including defining the custodians, date ranges, key words, metadata properties and other data characteristics and all applicable data can be locked in place and properly collected when needed. Retention schedules can be federated to disparate data sources for enforcement with elegant, efficient handling of the diversity in laws, retention periods and events are elegantly handled in even the most complex, global corporations.
“Atlas Policy Enforcement Services is a very strategic offering — it complements our best in class legal and compliance systems with the ability to enforce legal rules on structured and unstructured data across the enterprise,” said Deidre Paknad, President and CEO of PSS Systems. “An attorney can both establish and enforce legal holds from their desktop and retention managers can be assured that retention schedules are properly and automatically enforced on data in disparate repositories across the company and across jurisdictions. Combined, this allows companies to keep only necessary information — nothing more and nothing less.”
The Policy Enforcement Services module consists of a set of services and connectors to enable federation of legal hold, discovery collections and retention schedules across repositories, file shares, and business applications. By providing connectors for Kazeon and NTFS file shares, PSS Systems provides companies with a seamless way to define and institute holds on unstructured data littered across file servers and PCs — widely considered the most pernicious problem in both retention management and e-discovery. The connector for Documentum enables enforcement in the most popular content management application. An SDK is available for customers and third party developers who wish to develop unique enforcement connectors.
Policy publishing and connectors to Documentum, Windows file shares, and Kazeon will be demonstrated in the PSS Systems partner pavilion in booth 2604 at LegalTech New York February 5-8, 2008.
